Terms and Conditions for Ilford Carpet Cleaners
These Terms and Conditions set out the basis on which Ilford Carpet Cleaners provides domestic and commercial cleaning services, including carpet cleaning, upholstery cleaning, rug cleaning, stain treatment, and related maintenance services. By making a booking, the customer agrees to be bound by these terms. Please read them carefully before confirming any appointment. These terms are intended to be fair, clear, and practical, and they apply to all services supplied by the company unless otherwise agreed in writing.
The expressions “we”, “us”, and “our” refer to the cleaning provider, while “you” and “your” refer to the customer or person making the booking. Any reference to the carpet cleaning company, the cleaning service, or the cleaning team should be understood to mean the same business entity providing the service. Nothing in these terms affects your statutory rights as a consumer.
These terms cover service booking, payment, cancellation, liability, waste handling, access requirements, and the legal framework governing the agreement. If a separate written quotation, work order, or service confirmation contains additional terms, those terms will apply alongside these conditions unless there is a direct conflict, in which case the written confirmation will prevail for that specific matter.
1. Booking Process
All bookings for Ilford carpet cleaners services must be made by an adult aged 18 or over who is authorised to enter into an agreement on behalf of the property owner, occupier, landlord, business, or managing agent. A booking is only confirmed once we have accepted the requested appointment and, where applicable, received any required deposit, booking fee, or written confirmation.
During the booking process, you must provide accurate and complete information, including the type of flooring or fabric, the approximate room or item sizes, access details, parking restrictions, and any known stains, damage, fragile areas, or previous treatments. If the information supplied is incomplete or inaccurate, we may adjust the quotation, alter the equipment used, or refuse to carry out certain parts of the work if it would be unsafe or unsuitable to proceed.
We may provide estimates based on the information you give us, but a final price may change if the actual work differs from the description provided at the time of booking. For example, a carpet cleaning service may require additional time or specialist treatment if the carpet is heavily soiled, contains pet contamination, or has been treated with products that affect the cleaning process. Any variation will be explained before work continues where reasonably possible.
We will use reasonable efforts to attend at the agreed time, but appointment times are approximate and may be affected by traffic, weather, access issues, extended work at a previous job, or other operational delays. If we are delayed, we will aim to inform you as soon as reasonably practicable. Time shall not be of the essence unless expressly agreed in writing.
You are responsible for ensuring that suitable access is available on the scheduled day, including entry to the property, working water, electricity, and any necessary parking arrangements. If we cannot gain access or cannot carry out the work because the site is not ready, we may charge a call-out fee, waiting fee, or cancellation fee, depending on the circumstances. Where equipment must be carried through the property, you should remove fragile items and valuables from the work area beforehand.
By confirming a booking with Ilford Carpet Cleaners, you agree that we may use subcontractors or suitably trained operatives to carry out all or part of the service, provided they act on our behalf and in accordance with these terms. We remain responsible for the proper performance of the work, subject always to the limitations set out in these Terms and Conditions.
2. Payments and Charges
Prices are usually provided as a quotation, estimate, or fixed service rate based on the information available before attendance. Unless otherwise stated, all prices are exclusive of any additional work requested on site. Extra charges may apply for stain removal, odour treatment, furniture moving, specialist fibre care, emergency appointments, out-of-hours attendance, parking charges, or unusually heavy soiling that requires extended labour or specialised products.
Payment must be made in full by the method agreed at the time of booking or immediately upon completion of the service, unless a credit account or invoice arrangement has been approved in writing. We may accept cash, bank transfer, card payment, or another agreed payment method, but we are not obliged to accept any particular form of payment. Where an invoice arrangement is authorised, payment must be made within the period stated on the invoice.
If payment is not received when due, we reserve the right to charge reasonable late payment costs, interest where permitted by law, and any administrative expenses incurred in recovering the debt. Title to any goods supplied remains with us until full payment has been made. The carpet cleaners may also suspend further services or refuse future bookings where there is an outstanding balance.
Any dispute about charges must be raised promptly and in good faith. You should inspect the work before making payment where possible. If you believe there is an error in the invoice, you must inform us within a reasonable period so that we can review the matter. Disputed amounts should not delay payment of the undisputed portion of the invoice.

3. Cancellations, Changes, and Rescheduling
Bookings may be cancelled or rescheduled by either party. If you need to change the appointment, you should notify us as soon as possible. We will try to offer a suitable alternative date, subject to availability. We understand that plans can change, but late changes may create wasted travel time, reserved staff hours, and lost appointment opportunities.If you cancel within a reasonable notice period before the appointment, no cancellation fee may be charged, unless we have already incurred special costs in preparing for the work. If you cancel at short notice, fail to provide access, or are not present at the agreed time where your presence is required, we may charge a cancellation fee or call-out fee to cover our costs. The amount will be proportionate and based on the circumstances.
We reserve the right to cancel or reschedule a booking where necessary due to staff illness, unsafe conditions, equipment failure, environmental risks, or circumstances beyond our reasonable control. In such cases, we will offer a new appointment or, where appropriate, a refund of any prepaid amount for the cancelled service. We will not be liable for any indirect loss caused by the cancellation, provided we have acted reasonably.
If the property condition, materials, or working environment presents an unexpected risk, we may suspend or stop the service. This includes situations where there is active water leakage, exposed wiring, unsafe flooring, infestations, hazardous waste, or severe contamination. In such cases, we may request that the area is made safe before returning to complete the work.
4. Service Standards, Customer Responsibilities, and Liability
We will carry out the service with reasonable care and skill, using methods that are appropriate for the items and surfaces identified at the time of booking. However, cleaning results can vary depending on fibre type, pre-existing wear, age, previous treatments, staining, and hidden defects. We do not guarantee the complete removal of all stains, odours, or marks, especially where they have been present for a long time or have permanently altered the material.
You are responsible for informing us of any known sensitivities, special instructions, or pre-existing damage before work begins. This includes loose seams, fragile dye, water damage, weakened backing, underlay problems, and items that may be affected by moisture or heat. If you ask us to proceed despite an identified risk, you accept the possible consequences to the extent permitted by law.
The Ilford Carpet Cleaners team will take reasonable care while moving light furniture or working around household items, but we are not obliged to move items that are heavy, fixed, unstable, hazardous, or likely to cause damage when moved. You should remove breakables, money, jewellery, documents, and other valuable items from the treatment area before the visit begins.
Our liability for loss or damage arising from our service is limited to the extent caused by our negligence, breach of contract, or failure to use reasonable care and skill. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under English law. Subject to that, we shall not be liable for indirect, consequential, or economic loss, including loss of profit, business interruption, or loss of enjoyment.
Where we are responsible for proven damage caused directly by our work, our obligation will generally be limited to repair, re-cleaning, rectification, or a refund of the affected part of the service, at our discretion and where lawful and reasonable. Any claim must be supported by evidence and reported within a reasonable time after the alleged issue becomes apparent.
We do not accept liability for damage caused by pre-existing conditions, normal wear and tear, hidden defects, unsuitable materials, incorrect information supplied by the customer, or failure by the customer to follow aftercare instructions. If our operatives identify an increased risk due to the condition of a carpet, rug, or upholstered item, we may decline to proceed or may proceed only at your risk after explaining the issue.
5. Waste Regulations and Environmental Handling
We will handle waste and residual materials in accordance with applicable UK waste disposal and environmental laws. This may include contaminated cleaning water, used disposable materials, removed debris, packaging, and any waste generated as a direct result of the service. We will take reasonable steps to dispose of waste responsibly and to avoid unnecessary environmental harm.
You must tell us in advance if the property contains hazardous materials, biohazards, sharps, infected materials, chemical residues, asbestos-related concerns, or any other waste requiring specialist handling. We are not authorised to remove or transport waste that requires a specific licence, specialist disposal route, or separate compliance procedure unless this has been expressly agreed in writing and we have the lawful authority to do so.
If prohibited or hazardous waste is discovered during the service, we may stop work immediately and require you to arrange suitable removal by an approved contractor. Any delay, additional cost, or risk arising from improper waste handling, hidden contamination, or failure to disclose relevant information will be your responsibility. We may also charge for any extra time or safety measures required to address the issue lawfully.

6. Complaints, Force Majeure, and Governing Law
If you are unhappy with any aspect of the service, you should notify us as soon as reasonably possible so that we can investigate the matter and, where appropriate, offer re-attendance, remedial work, or another fair solution. Complaints must be made in a clear and timely way, with reasonable details of the issue and any supporting photographs or information where available. We will review complaints in good faith.We shall not be in breach of these terms where failure or delay in performance is caused by events beyond our reasonable control, including severe weather, transport disruption, fire, flood, power failure, labour disputes, supply shortages, or governmental action. In such circumstances, we may suspend, amend, or cancel a booking without liability for indirect loss, although any prepaid amount for undelivered services will be handled fairly in accordance with the situation.
If any part of these Terms and Conditions is found to be unlawful, invalid, or unenforceable, the remaining provisions shall continue in full force and effect. No failure or delay by either party in enforcing any right or remedy shall operate as a waiver of that right or remedy. Any variation to these terms must be agreed in writing by an authorised representative of the company.
These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have non-exclusive jurisdiction to settle any dispute arising from the services provided by Ilford Carpet Cleaners. By booking any service, you acknowledge that you have read, understood, and accepted these terms.
